- Client & project data: account details, project information, invoices and payment records, support tickets, and files you share through the client portal.
- Payment information: payments are processed by our payment provider (Stripe). We do not store full card numbers; we receive limited transaction details (e.g., amount, status, last four digits).
- Automatically collected: IP address, browser and device type, pages visited, referring URLs, and similar usage data collected via cookies and analytics.
- Website chat: if you use the chat assistant, we store the conversation, your IP address and approximate location (city / region / country and network provider), browser and device details, the page and referral source you arrived from, and any contact details you share, so we can follow up and protect the service from abuse. A first-party cookie (
iolab_vid) recognises your browser across chats for up to one year.

- Provide, operate, and improve our website, client portal, and services.
- Respond to inquiries, provide customer support, and manage support tickets.
- Prepare proposals, deliver projects, and process invoices and payments.
- Send transactional messages (e.g., confirmations, receipts, project updates) and, where permitted, marketing communications you can opt out of at any time.

5. Text Messaging (SMS) Privacy
If you provide your mobile phone number and opt in to receive text messages from iOLab Digital, we collect your mobile number, your consent record (the date and time, the page, form or phone call where you opted in, and the exact consent wording you agreed to), and the content of the messages you send to us and we send to you. If you opt in verbally during a call with our AI phone receptionist, the call recording and transcript are kept as the record of your consent.
We use this information only to send the text messages you agreed to receive:
- Meeting and appointment reminders, including meetings you book by phone with our AI receptionist
- Updates on support tickets, bug reviews and change requests
- Alerts when a new update is posted to your client portal
- Billing notices: invoices, payment reminders, receipts and failed payments
- Replies to support requests and bug reports you text to us
We also use it to keep a record of your consent and opt-out requests. We do not send marketing or promotional text messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. We share mobile information only with the service providers that deliver our text messages (such as our SMS platform and wireless carriers), and only as needed to deliver messages to you.
